This Privacy Policy explains how Callvonix (“Callvonix,” “we,” “us”), a product of WizPro Software, collects, uses, shares, and protects information when you use our cloud phone service, websites, and mobile applications (collectively, the “Service”). Callvonix is a business communications platform; we process calls, text messages, and voicemail on behalf of our customers to deliver the Service.
1. Information we collect
We collect the following categories of information:
- Account information — name, email, phone number, business name, address, and login credentials.
- Communications content & metadata — call detail records (numbers, time, duration, disposition), call recordings and their transcriptions (when recording is enabled), voicemail audio and transcriptions, and SMS/MMS message content and metadata. We process this to provide the Service.
- Usage data — feature usage, log data, and diagnostic information.
- Device & technical data — IP address, device type, operating system, app version, and identifiers needed to route calls and deliver push notifications.
- Payment information — billing details are processed by our third-party payment processor. We do not store full card numbers on our servers.
- Cookies — used for authentication and to keep you signed in. See “Cookies” below.
2. Mobile app permissions
Our mobile apps may request the following device permissions, used solely to provide the Service:
- Microphone — to make and receive phone calls.
- Notifications — to alert you to incoming calls, voicemails, and messages.
- Phone state / call integration (Android ConnectionService / iOS CallKit) — to present calls natively.
- Contacts (optional) — only if you choose to enable contact matching; you can decline.
- Network access — to connect calls and sync data.
We do not sell device permission data, and we do not use these permissions for advertising.
3. How we use information
- Provide, operate, route, and maintain calls, messaging, and voicemail.
- Authenticate users and secure accounts.
- Process payments and prevent fraud and abuse (including fair-use and anti-spam enforcement).
- Provide support and send service-related communications.
- Comply with legal obligations and enforce our Terms and Acceptable Use Policy.
We do not sell your personal information, and we do not use the content of your calls or messages for advertising.
4. How we share information
We share information only as needed to run the Service:
- Service providers (subprocessors) — categories include telephony and SMS carriers, our payment processor, email delivery, cloud file/recording storage, and hosting and database providers. These providers process data on our behalf under contract and only as needed to deliver the Service. A current list of subprocessors is available on request.
- Within your organization — account administrators can access call logs, recordings, voicemail, and messages for their account.
- Legal & safety — when required by law, subpoena, or to protect rights, safety, and the integrity of the Service.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.
5. Data retention
We retain account and communications data for as long as your account is active or as needed to provide the Service. Call recordings are retained according to your account’s configured retention period and are then deleted automatically. We retain certain records longer where required for legal, tax, billing, or compliance purposes. You may request deletion as described below.
6. Your rights & choices
- Access & correction — view and update your account information in the app, or contact us.
- Deletion — you may request deletion of your account and associated personal data (see “Account & data deletion” below).
- California (CCPA/CPRA), Virginia, and other state residents — you have rights to access, delete, and opt out of “sale”/“sharing” of personal information. We do not sell personal information. To exercise rights, contact us.
- EEA/UK residents — where applicable, you have rights under GDPR/UK GDPR including access, rectification, erasure, restriction, and portability.
7. Account & data deletion
To request deletion of your Callvonix account and associated personal data, email support@wizprosoftware.com from your account email, or use the contact form, with the subject “Data Deletion Request.” We will verify your identity and delete your personal data within 30 days, except where we must retain certain records to comply with legal obligations. Some data may persist in backups for a limited period before being overwritten.
8. Security
We use industry-standard safeguards including encryption in transit (TLS), encrypted SIP signaling and SRTP media where supported, encryption of sensitive credentials at rest, access controls, and audit logging. No method of transmission or storage is 100% secure, but we work to protect your information.
9. Children's privacy
The Service is intended for businesses and adults. It is not directed to children under 13 (or under 16 where applicable), and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
10. Cookies
We use strictly necessary cookies for authentication and session management. We do not use third-party advertising cookies.
11. International data transfers
We operate in the United States and may process data there. Where we transfer data internationally, we rely on appropriate safeguards as required by applicable law.
12. Changes to this Policy
We may update this Policy from time to time. We will post the updated version with a new “Last updated” date and, where appropriate, notify you.
